OUR PRIVACY POLICY
Members may be aware that the General Data Protection Regulation, or GDPR, is a European framework for data protection, effective from 25th May 2018. It has been brought into UK law to replace the Data Protection Act 1998. The terms of GDPR apply to all organisations, from the largest to the smallest - from Facebook to Margate Civic Society.
The Society is obliged to explain to you what data we collect from you, how we store it and how we use it. We are also obliged to advise you of your rights to see what data we hold for you and to have it deleted if you so wish.
As a member of the Society, we hold the following information about you: Name, postal address, email address where you have supplied one, telephone number where you have supplied one, the category of membership (ie single or joint, paper Newsletter or email Newsletter) and the amount you have paid for membership and the date you paid it.
This information is stored in an Excel spreadsheet held on a personal computer owned by the Membership Secretary. The computer is password protected and is kept at the Membership Secretary’s private residence.
As well as the Membership Secretary, the information may also be viewed but not stored by the Chair, Hon Secretary, Newsletter Editor and Hon Treasurer. The information will be used solely for purposes connected with the administration of the Society, such as emailing or posting Newsletters, emailing information about events which we consider will be useful to members and general work in connection with amending or updating membership information. The data we hold about you is never passed to outside organisations.
In addition to this membership information, paper Gift Aid declaration forms which include your name and address are held by the Hon Treasurer. These are kept in a locked cupboard in the Hon Treasurer’s private residence.
We only keep information about you whilst you are a member of the Society. Once you are no longer a member, we will delete any information held about you.
You may if you wish request us to provide to you the information we hold about you, by applying by letter or email to the Hon Secretary. There is no charge for this. You may also ask us to delete any information we hold about you - although in such a case, we would no longer be able to send you Newsletters or communicate with you.
We do not hold any personal details on our website, except for names and contact details of committee members. We do link to websites of other organisations of interest but cannot be responsible for protection and privacy of any information you provide whilst visiting such sites.
We presently send to you the quarterly Newsletter, either by email or a paper copy, and occasional emails notifying you of local events which we believe will be of interest to you. If you no longer wish to receive such information, please notify the Hon Secretary in writing, by email or by post. The Hon Secretary’s contact details are always shown on the back page of the Newsletter and on our website.
